Guest Policy

We recognise that students will have friends/guests to stay with them on occasions, however, for Health and Safety reasons we require you advise us of the dates that your guest is staying so that people can be accounted for if there is an emergency evacuation. 

  • If you are an undergraduate student you are allowed to sign in a guest for a maximum stay of six nights per month. Guests cannot stay for more than two nights in seven consecutive days. 
  • GB or International students who may require guests to stay for a longer period must call in to Elms Village reception and speak to a member of staff.
  • Guests must be 18 years of age or over.
  • There are certain times when guests are restricted or not allowed, for example St Patrick’s Day (16–18 March 2016 inclusive) and Halloween (27 - 31 October 2016 inclusive). All dates will be communicated to you.
  • You must book in a guest at Elms Reception by 11pm on their day of arrival, however, your guest can arrive after 11pm. When your guest arrives you must accompany them to Elms Reception where they should present photo ID and sign in. Failure to do so will result in entry being refused.
  • You must accompany your guest at all times. Your guest must be with you in order to gain access to accommodation.
  • If for any reason your guest makes a disturbance, security staff or any other member of staff has the authority to ask them to leave the premises immediately.
  • Antisocial behaviour or damage to property caused by your guest is your responsibility and could result in disciplinary action against you.
  • Friends/visitors who have not been signed in as a guest will be expected to leave the accommodation by 11pm 
  • You must book in a guest at Elms Reception by 11pm on their day of arrival, however, your guest can arrive after 11pm.
  • You must book  your guest in by 11.00pm on their day of arrival by  informing the Elms reception staff. You can do this by one of these methods:

 Come to Elms reception and fill out a guest booking form before 11.00pm or

 Download the Guest Sign In Formand email it to accommodation@qub.ac.uk or drop it in to Elms Village reception before 11.00pm or

 Between 9.00pm -11.00pm if you are out and wish to book in a guest to stay that night, you can phone Elms reception and provide the guest details; you  should also ask for the name of the staff member with whom you are speaking.

  To complete the booking we will need the following details:

    • Your name, Queen’s Accommodation address, student number, telephone number.
    • The name of your guest, their date of birth, their telephone number and the number of nights they are staying. Your guest must bring photo ID with them.
  • If staying in Elms Village and Willow Walk, regardless of arrival time please come to Elms reception with your guest to provide their ID and sign the booking form. If staying in accommodation outside Elms Village, (Grant House, Guthrie House, Mount Charles, College Gardens and 76 Malone Road), you do not need to come to Elms Village to sign-in; your guest’s details from the booking form will be added to the resident’s list. This may be checked by the Security or Safety team in the event of them being called to the accommodation, for example because of a noise complaint or an emergency.
  • Your guest must sign out when they depart
  • You must accompany your guest at all times. Your guest must be with you in order to gain access to the accommodation
  • If for any reason your guest makes a disturbance, security staff or any other member of staff has the authority to ask them to leave the premises immediately
  • Friends/visitors who have not been signed in as a guest will be expected to leave the accommodation by 11pm
  • You are responsible for the behaviour of your guest  for the duration of their stay in Queen’s Accommodation and you must accompany them at all times. If your guest is responsible for antisocial behaviour, causes a disturbance or damage to property, this could result in disciplinary action against you and payment to make good any damage. In such circumstances, a member of the Safety Team or member of staff has the authority to ask them to leave the premises immediately.

We can supply bed linen for your guests for a small charge and have a small number of fold-up beds (subject to availability).

Subject to availability, we can provide guest rooms at Elms Village which can be booked in advance and paid for at reception. Prices vary depending on the room type available but will range between £13.00 and £17.00 per night. There is an extra charge of £5.60 if bedding is required. These rooms are subject to availability. As well as signed-in guests, you are responsible for the behaviour of any visitor or fellow resident student to whom you allow access to your accommodation block, floor or Queen’s House.

 

We have a small number air beds for you to use for your guest (subject to availability and arranged in advance). Please contact the Treehouse reception from 8.00am – 6.00pm in advance of the date your guest is staying; if available the air bed will be delivered to your room on the day required. If bed linen is required there is an extra charge of £5.30.
